Mission of your Visit:
Learn what they are capable of doing for a client
Learn what they have done for their clients
Learn how it worked (as in "successful" against set objectives)
Learn what they'll do for you (let them volunteer this)
Meet the employees (during a full tour of the facility)
Assess the agency's personality (in business, "birds-of-a-feather" flock together!)
Compare the agency personality with your own client personality.
Note the Following:
Welcoming committee (were you met at the airport?)
Airport welcome (anything fancy or unusual?)
Greeter or Guide (was there an Official greeter?)
Transportation to agency (was this pre-arranged?)
Ease of travel (was your trip enjoyable & uneventful?)
Airport-to-airport (think of this if many trips are expected)
Driving (same concerns if appropriate)
Travel time (time is money)
Travel expense (money is money)
Hotel accommodations (convenient, comfortable and reasonable)
Leisure opportunities (for extended stays)
Return delivery (did they take or offer to take you to the airport?)
The Site Visit:
Note and score the sequence of events. We recommend the following visit sequence:
- Lobby greeting (small agency contingent)
- Refreshments (if appropriate)
- Lavish gifts and contributions (kidding!)
- Small conference room briefing (prior to agency tour)
- Full Agency tour
- Meet and speak with staffers in their production environments
- Witness actual demonstrations at those stations
- Impromptu Q & A while touring
- Look for client work "in-progress" (non-confidential materials)
- Observe if confidential client material is "protected from view"
- Ask many of your "list questions" during the tour
